Utility Consulting Services, Inc. (UCS) has been working for our clients to reduce a variety of overhead costs. In 1997, we formed a strategic partnership to enhance our core services. Key among those services is the analysis and cost reduction for our clients’ waste and recycling costs. Unlike many cost management companies, UCS represents OUR CLIENTS in all aspects of the process, not outside vendors. Working in behalf of our clients, we ensure that service levels meet the needs, that rates match the level of service, and hold the vendors to the terms of their agreements. Invoices are audited to validate pricing, and any extraneous charges are supported, or removed.
Why are we sure that our services will benefit you? Two very specific reasons –
· Our process
· Our results
Our key partner has worked in the waste industry. This gives us the knowledge in how the waste vendors negotiate their agreements. Working with each client we identify exactly what are their needs, and then negotiate with all vendors to ensure our clients get the best rates AND service.
Negotiating a waste agreement is more complex than may be appreciated. Because the service is generally required to operate the business, most clients simply look for the local waste hauler, tell them a little about their waste stream, and the hauler quotes the price. Other clients may negotiate more detailed terms, but in the end, are still at the mercy of the vendor.
We know exactly where the “holes” are in that process. Having worked in the industry, we know where and how additional costs can be included. These are dealt with during the negotiation process, and these “holes” are remedied. The client is getting the service they want, the hauler is providing the service needed, and both the client and hauler are satisfied with the pricing.
Once negotiated, our services do not stop. We continue to hold the vendor accountable for the charges on each invoice. We make sure that services continue to be maintained. When discrepancies arise, we work to recover those disputed charges in behalf of our clients. Everything is performed in full transparency, so our clients are aware, without having to dedicate their own resources.
Utility Consulting Services Inc (UCS), is a full service waste and recycling resource that focuses on increasing hauler / recycler invoice accuracy, increasing operating efficiency while reducing client costs. We are NOT a waste hauler, nor are we connected to any waste hauler. Rather we manage services from the customers’ perspectives. We manage the costs through obtaining the best pricing, securing favorable contract terms, auditing invoices, and reporting ongoing savings to our clients.
· We review every aspect of each client’s waste and recycling requirements, allowing us to determine the exact service needed for each location
· We approach vendors capable of providing said services to determine the optimum approach. Once received, we present these options to our clients, and upon their approval, secure the agreement(s) and forward to the client for final approval.
· Said agreements are documented an used for the basis of auditing the subsequent invoices.
· Any service issues are referred to UCS for resolution. We are the dedicated point of contact, eliminating any unnecessary use of client’s man-hours.
· Customized payment services, including consolidated invoicing and electronic bill payments
· All invoices are audited prior to payment, so that client only pays what is rightfully owed.
· Monthly reporting, including exception reports, monthly savings calculations, costs per location and GL interface reports
· Ease of enrollment. To initiate service, client will only be expected to sign the UCS agreement, a Letter of Authorization, a list of locations to be included, and copies of the most recent invoice and hauler agreement.
· Reduction of man-hours currently required to manage each location’s waste needs.
· Client provides copies of each location’s invoice and hauler agreement to be included in the program
· A Letter of Authorization will be forwarded for each hauler. Upon Client’s signature, each LOA will be forward to the impacted hauler
· Each location will be contacted to verify that current service levels meet the needs of that location.
· All information is consolidated and prepared to be used in negotiating new service / rates
· After negotiations, results are forwarded to Client for final approval. Based on Client’s input, service will be awarded to the best qualified and approved hauler / recycler.
· Final agreement is forwarded to Client for final signature
· Effective with new service date, invoice(s) are forwarded to UCS for auditing prior to Client’s remittance. A report detailing any discrepancies will be forwarded to both the Client and hauler. Deduction(s) will be made if not disputed by hauler.
· Hauler’s invoice with any adjustments are forwarded to Client for final payment.
· Savings report is prepared and forwarded to Client. UCS invoice will be accompany savings report.
When this process is applied to your waste costs, what might you expect? Each client is different, and the level of their involvement in managing this process will measure into the overall savings. However, especially with clients having multiple locations, that level of involvement can be different at each location.
Using the results of past projects, we have created a simple template for your consideration. Using your own costs, see what the average savings for your company could be:
Sample Average cost per location: $500.00 x 35% = $2,100.00 X 50 locations = $105,000.00 annually:
Customer Name
# of Locations:
Consolidated Monthly Costs: per month
Monthly Savings: 35% per month
Annualized: x 12 per year
As stated above, this projected savings is based on the average savings produced through our program. But remember, any savings from this program falls directly to the profit line of your income statement! To achieve this kind of profit, how much would your sales need to increase? Could this savings allow you to expand your own service?
The one thing we haven’t discussed is how much this process would cost. Obviously, if the cost of the service outweighs the benefits, it wouldn’t be of benefit. That is the beauty of our service. We are paid out of the resulting savings. What does that mean to you?
